Email Quota Frequently Asked Questions
The email storage quota has been set at a soft limit of 300 MB.
Why is the quota set at 300
Mb?
The quota of 300 MB for mail was decided upon after discussions
with the Monash Messaging & Scheduling Advisory Committee, a group
made up of representatives from faculties. 300MB should be enough
for most people.
How can I find out how much space I'm
using?
Log into the
Web Mail Client. Select the Options tab then press the
Account Summary button.
I've just deleted lots of old
messages to free up space. Why does it say I'm still using more
than I really am?
When you move or delete mail from your folders, the messages aren't actually deleted, but instead are marked 'pending deletion' in the folder database, and hidden from view. If you have just deleted or moved mail and your quota has still not reduced then you may need to compact your folders.
Compact your folders
You can remove these deleted messages by selecting File > Compact Folders in Mozilla, Thunderbird or Netscape Messenger. Staff are advised to compact their mail folders periodically, and particularly after large move or delete operations.
Automatically Compact Folders
To avoid manually compacting your folders everytime you move and/or delete large amounts of emails, you can configure your client to "expunge on exit". This will automatically compact all your folders everytime your mail client is exited.
To do this in Mozilla Thunderbird: Go to Tools > Account Settings -> Server Settings and check the "Clean up ("Expunge") Inbox on Exit" option.
I've exceeded my quota, but I
can't delete any messages!
If you get an error message like this:
xNO UID COPY FAILED.
Unable to copy message: Disk quota exceeded.
where x is some number, the problem you are experiencing is related
to your Trash folder. There are two modes of operation for handling
deleted messages in Netscape, i) Move mail to the Trash folder, or ii)
X deleted mail until you choose 'File | Compress Folder'.
The above error comes from using the first mode -- since you are trying
to move messages into the Trash folder, which is also on the server,
you get an error. You'll have to switch, from 'Edit | Preferences |
Mail & Groups | Mail Server', uncheck the 'Move deleted messages
into Trash' check box.
I need more space for mail.
What can I do?
Additional disk space is available at a cost of $15 per 100MB upto a limit of 4000MB. This is a one-time payment. This extra space is not transferable to
other users.
Please use the new automated quota tool to purchase more quota.
I can't use the automated quota tool. What can I do?
If you are having problems using the quota tool or you are from an external organisation, please contact Jacinta Telfer, ITS Division, Clayton Campus
For support staff: list of disk
usage
A report is available for Computer Support Officers which shows
how much diskspace each of their users are using. If you want to
receive a copy of the report, please notify the
ITS Service Desk.
